In recent years consignment software vendors have attempted to push 'software as a service' as justification for charging ongoing never-ending monthly or annual payments for using their resale software. Grand for their profits. Not so much for consignment store owners.
Aka Web-Based Software, 'software as a service' resides on a remote 'server' (computer) controlled by the software provider. The consignment program stops working when payment stops or when your Internet, the Internet itself or the host's connection to the WWW fails. Should your business be dependent upon 'the Internet'?
Computer-Based Consignment Software (like BCSS) resides on your shop computers, under your control and not dependent upon outside connections.
However, there are significant differences within 'computer-based resale software':
- Our software is still available for one price.
- Software updates are free.
Plainly said, it's very common (and unethical if not illegal) for those attempting to sell their software to play down or even misrepresent their desires and intentions of continuing a stream of income from you after your purchase.
The common ploy is offering an 'optional support plan' but with consequences for not paying the 'optional annual support fee':
- Support will be denied altogether.
- If that doesn't do it, (critical) software system updates will be withheld. Said another way, no issue with the software will be remedied until the annual fee is collected, or the charge will be inflated for those who didn't enroll in the 'annual service plan'.
- Also undisclosed pre sale is the seller's history of increasing the fee and reserving the right to do so in the future.
Leased Resale Software is just another version of attempts to collect forever.
With either form of consignment software (web or PC) the steady flow of money from shops to sellers of software takes the forms of additional charges after purchase: copies of the software, number of users and locations, increases in the amounts prepaid for support...

Resale Software Features
The software is several programs rolled into one software: consignment, resale (buy outright), retail and floor-space rental. Within those types of businesses there's inventory, customer and employee management, POS (point of sale), settlement and payment processing, printing, accounting and reporting.
In 2001 we examined the layouts of competing programs to improve upon usability with the thought in mind that an intuitive build would increase comprehension and reduce learning/training time.
With that in mind all common tasks and essential pieces of information were brought to the surface of the user interface so in switching from clients to inventory to sales all information and tasks would be within a key press or mouse click.
Over time 'batch processes' were added to group functions for faster processing:

A default Consignor % is set in Program Setup and is applied to each sale for every consignor:

- Each inventory item can have a unique Consignor %.
- Each inventory category can have a designated percentage.
A default Discount Schedule can be applied automatically or discounts may be applied in a variety of ways:
- There can be more than one Discount Schedule.
- Periodic aged discounts can be granted manually.
- Each category of inventory can have a schedule assigned.
- Sales Promotion: One or more categories can be discounted by percent or dollar amount during a stipulated period of time.
- Prices can be manually adjusted at POS.
- Any item or invoice (at point of sale) can be discounted by % or $ amount.
Buy outright (aka 'Resale) is the purchasing (and reselling) for individuals:
- Merchandise may be entered singularly or in batch.
- Things entered in spreadsheets can be imported.
- An agreement may be printed for sellers' signatures verifying purchases, legal ownership and prices paid.
- Labels and hang tags print with the selling price (only).
- The program will compute profit/loss for each item.
- Reports can be created for any period of time, per category, for buy-outright only, per client, etc.
Retail differs from buy outright in that merchandise is purchased 'B2B' (business to business) so purchases are made from wholesalers, manufacturers, suppliers, craftsmen, importers, etc.
Floor Space Rental
A variety of businesses use the Diamond edition of BCSS to manage the renting of floor space:
- Antique and shopping malls manage units of floor space.
- Trade shows, events and exhibitions rent display units.
- Flea and farmers markets track booths.
The program keeps track of dealers (renters), the amounts of rent, dates due as well as those waiting for specific rental units.
Mall or market managers have the options or printing price labels and tags for vendor products and processing sales for vendors.
With the Virtual edition of the software occupants can view their account information and add inventory online.
For every rent period a report is available for renters whose sales were short of covering rent.
Sales Tax can be varied in several ways:
- Two default tax rates can be set where state and local taxes are to be collected.
- A different rate can be set for each category or each item.
- An entire invoice can be made non-taxable.
- Resellers with valid tax IDs can purchase tax free.
Any credit-card processor may be used. The program is not integrated with any processing service. The sales clerk only needs to select the method of payment and process the card transaction completely independent of the software.
Multiple invoices can be opened at the same time, allowing a shopper to put a sale on hold and come back to complete the sale later on.
Hardware for Labeling and POS
Print labels and tags with any edition of the program, any ink printer and sheet stock (labels and tags on 8.5 x 11 sheets). With Diamond and Virtual editions print labels and tags from rolls of labels using a thermal printer.
At POS stores can use a common scanner to scan barcodes on price tags, populating the 'line item' with information about purchases, including the owners of the goods. (Scanners can also be used to locate inventory.)
Cash drawers (with locks and keys) connect to receipt printers and pop open when a receipt prints. Stores selling used merchandise often have no-return policies making the printing of receipts unnecessary so with BCSS, a drawer can be connected to the PC (with a special adapter replacing the printer) and will only open for non-credit-card transactions (like cash, check, store credit, etc). In the absence of a receipt printer, receipts can be printed from within the program using an ink printer.
Receipt printers print receipts on 3-inch-wide thermal roll paper (available for most office-supply stores).
POS-X is a hardware manufacturer supplying drawers and receipt printers to be used with BCSS. Other drawers and receipt printers (Epson, Star) are known to work with the program but are not recommended or supported.
Web-Based (Cloud) Alternatives

Buying software for 'mobility' comes at a high price, not only monetarily with never-ending monthly fees but in control and security:

- Web software users have reported that those in control of their data have refused to release their data when requested, regardless of the fact that the data belongs to the store owner.

What Is Consignment Software?
Consignment software is a specialized computer program for businesses engaged in selling things for others (for a share of the sales proceeds). The main features are:

What Is A Consignment Program?
'Program' often refers to a software application alone but an entire 'program' for running a store selling second-hand merchandise (as well as retail stock) could encompass a complete system including computers, software, hardware, service and supplies, or even a franchise.
A franchise is impractical for most consignment businesses simply because there isn't enough profit margin in the sale of used goods to be split between 3 parties: consignor, franchiser and shop owner. The latter might save some time and effort in establishing his or her own store but the long-term sharing of profits doesn't offset the expense of a permanent (silent) business partner whose mains contributions may have only been a business model, equipment and setup.
The most common configuration of a consignment program as a complete system is a software app provided by an application developer who might also sell and deliver PCs and peripherals (barcode scanners, cash drawers, receipt and label printers in addition to installing peripheral 'drivers' (software) and providing follow-up training and support.
Credit-card processing is included in some 'package deals' with 2 inherent problems: 1) By integrating card services with software, the software developer gets a kickback of every sale from the services provider who gets it from the shop owner (higher rates) and 2) integrated processing locks the business owner into the service subjects him or her to rate increases without the ability to opt out.
Consideration of any consignment program as a system should include a full written disclosure by the provider of any and all possible fees and policies for increasing future costs. Any purveyor refusing to disclose costs may have something to hide and should be avoided.
What Is Consignment Sale Software?
There are two types of sale software for consignment (and buy outright or resale):
Seasonal Sale Software
Used as a noun 'sale' means an event at which (generally) seconds will be offered for sale to the public. Sales are commonly hosted by churches, organizations, charities and those in the business of conducting a periodic sale for 'seasons' of the year.
If the sponsor is selling merchandise belonging to others, the sale is a consignment event. If the sponsor is reselling wares purchased elsewhere, it's known as 'resale' for things purchased from individuals and 'retail' for stock acquired from other businesses.
The main challenges of the sale's purveyor are keeping track of clients and their goods, and distributing sales proceeds and unsold goods.
Historically software vendors who targeted this market charged a fee for every event and added back-end costs by placing limits on the number of clients or inventory or transactions before forcing end users to pay more.
POS Sale (Point of Sale) Software
This type of software might be more appropriately dubbed as POS Selling Software to define the act of handing over ownership of products to another in exchange for something of value at the 'point of sale'.
Seasonal software almost always includes POS software but not vice versa.
A POS program can 'stand alone' meaning that it only processes sales transactions, records them and optionally produces reports of sales. It may not be involved in tracking, discounting and otherwise managing unsold inventory, including reports. (Intro is such a program.)
Most apps for consignment and resale include POS functionality and typically the common features are included like discounting (by % or $ amount), discounting per item or per invoice, selling tax free, variable sales-tax rates perhaps by category, payment methods and layaways.
Consignment Software Shopify
The costs of selling online have increased as the opportunities for profit have shrunk, reverting resellers of used merchandise to less-costly and more effective methods of creating profits from sales. Expenses include a software program and an 'e-commerce shopping cart' (like Shopify), both of which impose fixed and ongoing charges. 'Consignment Software Shopify' may not be the most profitable road to future profits.
What is the best consignment software?
By definition, the 'best software' is the program that reliably automates business processes at the least cost with ease and security.

Fully many a shop owner runs her or his business without assistance because she or he has made the effort to master skills.
Consignment Software Cost
Why pay $5,000 and more (over time) for a program when one for a tenth of that will get the job done?
- Confusion - There are too many choices.
- Sales Hype - Every offering is 'the best'.
- Deception - Software vendors camouflage costs.
- Malfeasance - Vendors attack competitors. Whom to believe?
Questions to ask:
- Is there a 'support plan'?
- What are the consequences of not paying the monthly or annual fee?
- Have you raised the cost of support in the past? (If so, count of future increases.)
- Do you have 'emergency rates' (before/after hours, weekends, holiday)?
- On how many computers can the software be used?
- What is the cost of additional copies or users?
- Do I own the software?
- Are software updates free? (If you're paying monthly, nothing is 'free'.)
- If I pay monthly rent, can you raise the amount later on?
- How much to use the software at additional locations. (very important)
- What is your Better Business Bureau rating?
- Does your marketing strategy include disparagement of competitors?
When it comes to computers, most of us hope for the best and don't plan for the worst. Protecting ourselves from malware, hackers, errors, electricity and bad luck should be the first things we do and most of us would if only we would accept the very high probability that bad things are a common every-day occurrence when bringing computers into our places of business.
How do I enter consignment in Quickbooks?
QuickBooks of course does not know about consignment in that it is not designed to easily manage a consignment business.
These are the steps outlined by Intuit:
- Select New Purchase Order from the purchasing menu.
- Select the seller from the vendor menu.
- Chose a consignment.
- Enter quantity in the ordered field.
- Select new item from inventory.
- Name the item.
- Choose the seller from the list of vendors.
- Choose the item from the menu.
The instructions go on from there, demonstrating that the program is not the best way to go about managing a consignment shop.
The simplest way to enter consignment in QuickBooks is to export data from No-Fee Consignment Software in QB format and import it. (The Virtual edition is integrated with Quick Books for direct transfer of data automatically.)

Free Consignment Software
The word 'free' is very high on the list of words used on the Internet to attract attention, appealing of course to our desire to cash in on free offers and save money by acquiring goods and services at no cost, but what are the costs, really?
'Free software' has several forms, all of which are employed by software businesses attempting to derive income, one way or another, from the investments they've made in developing and marketing their wares:
- Most commonly software vendors try to horn in on 'free' by coupling the term with software demos, i.e. "free software demo!". 'Free' last for a short period of time and of course the intent is to get the software user accustomed to using the program and reluctant to start all over with something else. The 'cost' is all the money that will be paid in the future, not only for the software but for service, updates, upgrades, copies, future increases in fees, et. al.
- One vendor flags Internet searches down with a search-engine title of simply 'Free Consignment Software' ask rhetorically, "What is This Free POS Software?" and those clicking through find the 'but' near the bottom of the page, "but commercial support, training, and customization is available from the author" which requires more hunting to finally find the 'gotcha': "...there is absolutely no free support (no free installation help, no free training, no free troubleshooting, no free coding help, no free general business help, etc.) offered by the author." coupled with "...the author's standard work rate is $50 per hour..."
In reality no person or company in the business of making a profit is going to invest heavily in an application and give it away without deriving some benefit from doing so. For more on the subject see free consignment software.
By far the most significant aspect of 'Simpleconsign' is cost. Even the sales hype is geared toward disguising the long-term toll monthly endless fees will take on a store with one location, not to mention the literal devastation of using this software in multiple locations.
The purveyor maintains a blog page entitled, "13 Questions to ask before buying software" filled with demagoguery and fear mongering warning about potential pitfalls of competing offers:
"You wouldn’t believe the number of people who don’t think about buying software until about 2 weeks before opening. Sometimes they just go with the first software vendor they find or a friend’s recommendation. After shelling out hard-earned money, they find out the software isn’t what they really needed."
This software guarantees huge long-term costs just to use the software, regardless of whether future help is needed or not. Here's what is behind the curtain:
- $99 or $149 or $199 per month PER LOCATION
- The software stops when payment stops.
- How many years do you expect to remain in business. Scale that by (rounded) $1,200, $1,800 or $2,400.
- 10 Years: $12,000 just for software. Compare that to a one-time cost of $595 for Diamond.
- There is no assurance let alone any discussion or disclosure pre sale about future price increases. Rest assured that once shop owners and employees are settled into a software program, buying and learning another will deter most from switching to another program, no matter the savings.
- You might not be thinking of multiple locations at the moment so for now, just be aware of the pricing multiple.
- The program is 'web based'. Your information and your customers' data is 'on the web'. There is no prominent website disclosure or assurances about this risk. Hacking business computers is a common occurrence. Would you have recourse if you're sued for failing to protect your customers' information? Probably not...
- Your shop is dependent upon: 1) your Internet connection 2) their Internet connection 3) the Internet in general
- The fine print: "Customer support and training are available for customers only and will be available after your trial has ended."
In contrast a non-web-based program installs on your computer where sensitive data can be protected under your control. The cost is once for lifetime use without the risk of future price increases.
You can 'work from home or anywhere' with any software program using any of the free remote-pc programs and there can be more than one 'user'.
For most shops the selling points of simpleconsign simply aren't worth the extreme costs and out-of-control risks of Internet dependency, data exposure and future price increases.
Consignment Software History
In the late 90's and early turn of the century, there were just a handful of software 'companies' offering programs for consignments shops (Resaleworld and one-man shops like Conpro and Computer Consultants Exchange). They may not have conspired as much as they just went along with the 'norm' at the time of forcing software users to pay annual support fees. They practiced the same devious marketing methods like failing to disclose pre sale that they would be increasing the amount of the annual fee in the future as well as conjuring up new fees at their whims. Developers of home-made software failed to mention that support for 'his' software would be gone upon his departure, demise or disappearance. (Current users of 'CCE' are discovering that lone wolf Bill is deceased and he took support of his software with him - no one left to access the code to keep it abreast of current technology or to fix bugs.)
In 2002 along came No-Fee Consignment Software doing away with prepaid/forced annual support fees, software ownership with the right to resell to another and with one payment for lifetime use, putting an end to the exploitation of shop owners with open-ended charges for making the wrong software choice. Today's she's moving the program and her data to a new computer (which she paid for with the savings on software) and gladly remitted $89 to have her data and program updated and transported. "Great software.! Great Company!" were her exclaims.
The reaction of competitors to No-Fee Consignment Software wasn't to lower prices and do away with price gouging, annual support fees and escalating costs but to collectively mount an assault against the newcomer. After all, the huge profits they were counting on to fund their retirements were at risk. Wilson at 'conpro' jumped on the stolen-software bandwagon - any platform for attempting to steer his potential customers away from the new threat to his dreams of riches and early retirement (at the expense of consignment stores). At the time consignment owners were engaged in a forum hosted by a pompous ex-store owner where the afore-mentioned villain missed no opportunity to disparage his competitors.
Track and Sell a Variety of Types of Sales with Consignment Software

- Consignment of course is selling the possessions of others and sharing in the proceeds of the sales. - Retail is the purchase of (new) products from entities (not individuals) like suppliers, wholesalers, etc. The same software features are available for retails as they are for resale.
- Rental is the lending of stock for a fee. A software program will keep track of renter and item information with dates out and in, rental rate and provision for late fees. It will produce inventory and sales reports for things returned, not returned and past due.
- Layaway in contrast is not something for sale but a way of selling. The purchaser is to complete a series of payments before taking possession of the purchases. A good software program will include a schedule of payments, means for recording payments, balance outstanding and settlement when payments and delivery are completed.
Bolstering Store Profits with Software
A brilliant idea: Grant a small bonus percentage for store-credit settlement. For example, if the consignor share is 50%, in BCSS enter 5% as the bonus then when 'store credit' is selected as the settlement option, the program will automatically add 5% to the consignor's share. The 5% can be based upon the amount of the settlement or the consignor's share.
- Consignors might appreciate the added value, fostering good will, referrals and positive social comments.
- Money remains 'in the store' and encourages consignors to become buyers, increasing sales.
- Fewer settlements by cash and check saves time and simplifies the process.
Buying and Reselling Software Features
A consignment store owner is essentially in the business of buying things of value and reselling them and that can include buying and reselling software features.
Stores can purchase a 'credit-card module' and enter percentages that can be deducted from settlement of credit-card sales (only) and/or added to credit-card purchases. (Any person objecting can be excluded.) This feature allows stores to pass some/all of their credit-card expenses on to those who benefit from service: consignors and buyers so if monthly card expense is $300 and the 'module' costs $19.95/mo, store profit is increased by $280.
Additionally store owners and employees can spend an inordinate amount of time answering the phone and questions like "Have I sold anything?" and "What's my sales total?".
Consignment Software Rankings
Search for 'consignment software' in any search engine and view the search results. There are some important things to note:
- The ads at the very top of the page are paid ads. The search engine accepted payment from the owners of the websites represented by the listings. Payment is the only reason those sites appear at the top. Moreover there are often products and services offered by those websites that are irrelevant to the search because search engines allow website owners to bid on irrelevant keywords like 'consignment software'.
- The next listings for Capterra and Software Advice are also there because they paid the search provider off. Scroll down to find another of their websites named Getapp. While holding themselves out to be 'review' sites, they've done nothing to review any software program much less the software provider. They take money from the software developers listed on their sites simply parrot what the developer provided for product information. They even allow developers to offer incentives to their clients for writing good reviews, so the good reviews are coerced. Lastly, they make little effort to catch developers faking reviews.
- Beyond the #1 and #2 spots, the remaining order of sites is determined by each search engine's 'ranking algorithm' which again has absolutely nothing to do with the software provider's reputation, marketing methods, unethical and illegal business practices (like false advertising, price trapping, blackmail). Pretty much the same can be said for any site that lists software and information about a software company. Even Dun and Bradstreet only verifies company name and address.
Summary: When viewing any listing on the Internet about any software 'company', most of it is hype provided by the software developer. Some like Wilson at Conpro hide the fact that they are one-man shows by claiming to be a CEO of a corporation with multiple offices in big cities. After all, who's going to check and what are the consequences when conmen are discovered? None.
Best Consignment Store Software
